Database:

Organizations & Individuals:

Organizations and individuals are the main component of the MemberAdvantage™ database. MemberAdvantage™ allows you to track an unlimited number of organizations and individuals. Both of these entities can have an unlimited number of telephone numbers and addresses. Organizations can be tracked by a user-defined status (member, prospect, etc.) as well as user-defined regions, business categories, meta categories, dues schedule category, SIC Codes, US Chamber of Commerce category, date joined, date canceled, and much more. Every Organization record contains an e-mail address as well as an Internet address. If your organization is connected to the Internet, you can go directly to an organizations web page from MemberAdvantage™ or even send that organization e-mail. Each organization record contains multiple note fields - each holding more than 30 pages of text. These note fields contain directions, business descriptions and member to member discount description as well as private notes for your staff. Finally, each organization record contains more than a dozen user-defined fields that you can customize to fit your needs. Individuals can be tracked by role, political affiliation, group, committee or organization affiliation. Each individual record also has a note field for your staff's private use.

Committees:

MemberAdvantage™ allows for unlimited committees, each contacting an unlimited number of individuals. The committee rosters track the term, join date, expiration date and active status of each committee member.

Groups:

MemberAdvantage™ allows for unlimited groups, each contacting an unlimited number of individuals. Groups are static lists of individuals that are sometimes used for mail merges, e-mailing and faxing. They are an excellent communication tool.

Programs / Events:

MemberAdvantage™ tracks events and registration by program series. A program series is a group of events. Each program series can contain an unlimited number of events. Each Event has a closing date, a registration cap and an unlimited number of registrants. Event registrations can track whether someone registered, RSVP'd and attended, it can also track room and table assignments and meal choices. Finally, it can track registration amounts, billing status and for all versions it will automatically bill events into MemberAdvantage™'s Accounts Receivable modules. The Event Registration process is as easy as dragging and dropping an individual into the event table. You can use events to track committee meeting attendance as well. The event module and has built in reports for event counts, nametags and rosters.

Requests for Information:

MemberAdvantage™ can track all of your outside requests for information. MemberAdvantage™ can set up an unlimited number of request types. Each request can track all the basic contact information for the request, as well as any charges incurred. There are several reports available to track, print or export requests as well as print mailing labels. There is a field in the request record to track if the requestor does not want their name on any mailing lists. The request for information can be a source of non-dues revenue to those organizations that sell lists to their members. An example would be the sales of all relocation requests in the past 30 days to Realtors and moving companies.

Referrals:

MemberAdvantage™ tracks referrals by organization status, business category, meta category, SIC Code, city, zip code and Business Description. Referral counts are kept for all organizations in the database. The referral list is ordered by:

    1. The number of referrals from least to most.
    2. Time and date of the last referral from oldest to most recent.
    3. Alphabetically by company name.

This means that if you pull up all the hotels in Portland with the word "Pool" in their business description. The hotels on the top would have the fewest referrals, the listings on the bottom would have the most. If two hotels both had the same number of referrals the one closest to the top would have the oldest referral time/date stamp. If all things are equal the organizations are listed alphabetically. You do not have to refer organizations in the order listed it is only a guideline presented to keep the referral process fair for your members.

Queries:

MemberAdvantage™ has a complete query module that allows for full end-user query writing. This is an advanced analysis tool. It allows you to get any information out of the database that you choose. An example: The query tool could be used to compare the average annual dues of the members that joined in 1998 versus the members that joined in 1990. Virtually any data that is in your database can be extracted with this tool. MemberAdvantage™ comes with 50 pre-built customizable queries. You can write your own or customize the ones that come with the software. The Query Builder does come as part of all versions.

MemberAdvantage™ Accounting:

MemberAdvantage™ Accounting is a robust multi-user accounting solution for Chambers of Commerce. It is a batch oriented general ledger accounting system. The accounting reports are setup on an accrual basis as many of our clients are required to use the accrual accounting method because of their tax status. MemberAdvantage™ Accounting allows the end-user to budget and report income and expenses on a functional cost center basis. MemberAdvantage™ comes with the Accounts Receivable and Order Entry Modules. The full MemberAdvantage™ Accounting package is available for purchase.

Tool Box :

The tool box allows you to mail merge, print labels, export data, print rosters, email, print name tags and more - all with a click of a mouse.

Group Builder:

The group builder allows an end user to combine the individuals from multiple companies, groups, committees, events or program series into a new group. The process builds a new group and automatically removes all the duplicate individuals. How many times have you said I want to send a notice to everyone that attended last month's technology meeting along with all of our membership and technology committee members? With Group Builder it's a snap - no more duplicate labels or people receiving two notices.

MemberAdvantage™ Data Entry Wizard:

The MemberAdvantage™ Data Entry Wizard facilitates entering new members and prospects into the database. It automatically finds duplicates and notifies you if a company of the same name is already in the database. You can call the wizard from any part of the program, whether you are in events or referrals - entering new members or prospects into your database has never been easier.

MemberAdvantage™ Fax:

MemberAdvantage™ is now set up to fax directly to individuals in your database from any Microsoft Windows ™ application. Type your document, select the MemberAdvantage™ Fax Printer driver as the destination printer, select the individuals from your MemberAdvantage™ database and fax. There is no more need for waiting in line for the fax machine, delaying important information and decisions by mailing your documents, or purchasing costly extra equipment.

MemberAdvantage™ Email:

MemberAdvantage™ allows you to send e-mail to Organizations or to Individuals with a single mouse click. All you have to do is type your subject line and message, then click send. You can even send e-mail meeting notices or agendas to Group and Committee members by dragging and dropping your stored Group or Committee to the e-mail icon. Reduce mailing costs and increase communication effectiveness by e-mail.
